What you share with us

When you apply, we collect your name, email address, region, ZIP code, dog's name, age range, breed if you provide it, and your optional explanation of what brought you to Wellhound. We also record your permission to contact you, the wording version of that permission, the application date, and an application identifier. We keep application status, follow-up notes, and email delivery records to manage the beta. If you email us, we receive your message and contact details.

The beta application does not ask for payment details or veterinary records. Please do not include sensitive personal information in fields that do not ask for it.

How we use it

We use application information to assess beta availability, respond to your application, contact you about participation, prevent duplicate or abusive submissions, and administer the beta. We use messages you send us to answer your questions. Applying does not book a visit or authorize treatment, prescriptions, purchases, or access to your vet's records.

Website information and advertising cookies

Our hosting providers may process technical information such as IP address, browser details, request time, and pages requested to deliver the website, maintain security, and diagnose errors. To limit automated submissions, we use an hourly hash of the connection address. Expired counters are removed when later applications are processed.

If you allow advertising cookies, we load the Google Ads tag to help measure our advertising. Google may receive browser and device information, your IP address, pages visited, and cookie or advertising identifiers. These interactions may be associated with your Google activity according to Google's policies. We do not send the name, email, ZIP code, or dog details from your beta application to the tag.

The Google Ads tag stays off until you choose Allow cookies. Essential only keeps it off. Cookie settings lets you change your choice; withdrawing consent reloads the page to stop the loaded tag. We store your choice in this browser for up to six months. A Global Privacy Control signal keeps optional advertising off. Clearing browser storage or using a different browser may reset your saved choice.

Your browser can also block or delete cookies. Withdrawing here does not erase information Google already received. Google's privacy policy and information about partner sites explain its processing and additional controls.

Who receives information

Wellhound and service providers supporting our hosting, database, and communications process information for the purposes above. We use Notion to organize beta applications, contact details, and follow-up notes for our team. We use Resend to send application confirmations and beta invitations. Resend processes the recipient address, email content, and delivery information. Google receives advertising information only when you allow the tag. We do not sell beta-application information or give it to advertisers for their own contact lists.

We may disclose information when reasonably necessary to comply with law, respond to lawful requests, protect people or our services, or complete a business transfer subject to appropriate protections. Links to other services are subject to those services' privacy policies.

Retention and security

We keep application information while it is needed to manage your application and beta participation, respond to requests, meet legal obligations, or resolve disputes. You can ask us to delete it. Some information may need to be retained for legal or security reasons, and copies in backups may persist until those backups are replaced.

We use safeguards appropriate to the information we handle, but no website or storage system can be guaranteed completely secure. Do not send urgent veterinary concerns through this website.

Your choices and requests

Email hello@wellhound.app to ask for access to, correction of, or deletion of your application information, withdraw from the beta, or stop beta emails. Use the same email address as your application where possible. We may need to verify your request. Rights and response deadlines depend on the laws that apply to you; we will explain any limitation. If you disagree with our response, reply to request a further review.

Advertising cookies are optional and are not required to apply. Cookie settings is available in the footer and on this page.

Children, services, and updates

This website and the beta application are intended for adults. We do not knowingly collect children's personal information. Contact us if you believe a child has submitted information.

This notice covers the website and beta application, not a future veterinary record or treatment service. Additional information and any required permissions will be provided before those services collect new categories of information or begin care. We will update this page when our practices change and provide additional notice or obtain permission where required.
